Need an overhead crane: Where to start?

Overhead crane projects often begin with a quote request sent to the supplier, based on technical information such as the type of equipment, its capacity, the desired lifting height, etc.
This information is important, of course. But is it really the starting point for your project?
Two companies may be looking for the same type of equipment, with the same capacity and similar technical information. But in the end, the proposed solution could be completely different. Why? Because ultimately, your goal is not to have an overhead crane, but to have the best tool to achieve your company's objectives. If the context of the project and the requirements are not clearly identified, the proposed solution may not be the right one, and may even cost more over the lifetime of the equipment (see the article "How to prepare a budget for overhead crane purchase".)
In this article, you will discover the most important information that needs to be clarified before even beginning the technical analysis, and why this step is essential.
Why context is essential before discussing price
A well-configured overhead crane is not the result of a list of technical parameters, but rather a clear understanding of your context and objectives. A lifting device can be used in many ways. But your situation is unique. And even if your industry is very similar to another, your methods and operations may be very different:
-
You may have safety, environmental, space, or height constraints,
-
Or you may be more focused on improving performance,
-
Or the service life of the equipment may be your main concern,
-
Etc.
All these issues are more important than technical details, don’t you think? That's why it's important to have an overview of the project and its context before discussing technical details. The proposed solution then aligns with the direction your organization is taking, both functionally and budgetarily. This avoids multiple revisions that generate a lot of work for both you and your supplier and often confuse rather than clarify.
To avoid this pitfall, it’s best to approach the project with a clear structure. And within this structure, basic preparation is necessary to fully understand your reality. This is how you avoid setbacks and disappointments.
That's why, before getting into specific technical details, it's worth focusing on the most important aspects. Here are three simple questions that will help you align the project better and prepare for a productive and effective discussion.
3 simple questions to define the context of your project
Before discussing equipment types, measurements, or capacity, here are three questions that could completely change the direction of your project to align it better with your goals:
1. Why this project now? What triggered the need for new lifting equipment? The answer to this question could well become a major turning point, as it’s linked in one way or another to your business plan. With this in mind, your lifting expert may be able to point you in a direction you simply hadn't thought of.
2. What goal or improvement are you looking for? What is the key point for you in this project? Increasing productivity, preventing injuries, making your operations more flexible or versatile, etc.? With this in mind, your supplier can identify components, technologies, or options that align with these goals.
3. What will the equipment be used for exactly? What will you be moving with your lifting equipment, and how? What will your typical operations be? What type of parts will be moved? In short, the typical or usual use of the equipment.
As you can see, no technical information is expected here. Instead, these are key elements used to align or scope your project. These will naturally enable you to gather the basic information about your project, namely:
-
The application: the type of load, how it will be lifted, etc.
-
The frequency of use: heavy or light use, periodic use, etc.
-
The status of the building: existing building or under construction
-
The environment: indoor, outdoor, special conditions
-
Special constraints: related to safety, production, etc.
-
The schedule: target deadlines, priorities, urgency, etc.
Once these key elements have been clarified for everyone, your specialist will be able to advise you on crucial points concerning your project, so that you can take the right direction from the outset and avoid the common pitfalls of a purely technical lifting project.
For this reason, it's good practice to move on to technical analysis in a second meeting. What information should you prepare before this discussion?
Technical information to prepare for the next step: analysis of the needs
Once the context, intentions, and main points are clear and complete, it’s much easier to address the technical aspects to finalize the project file. Here is what you will discuss during this meeting with your specialist:
-
Number of pieces of equipment
-
Maximum load weight
-
Dimensions of the location
-
Maximum available height
-
Required lifting height
-
Layout drawings
-
Any other information needed to prepare a quote
Your supplier can help you gather this information depending on the situation. For example, you can download the attached checklist to help you not forget anything (link to checklist document – coming soon).
| Before technical analysis | During technical analysis |
| Reasons for the project | Number of pieces of equipment |
| Goals of the project | Maximal weight |
| General use of the equipment | Measurements |
| Basic information (building status, constraints, deadlines, etc.) |
Layout drawings |

But why is such an approach so important?
Why this approach is essential before technical analysis
This approach helps you avoid making bad choices at the outset, as well as the consequences that could result at the end of the project.
For example, let's look at three approaches to avoid when starting an overhead crane project.
3 common mistakes at the start of a project
Mistake 1: Quick quote: standard situation
Asking your supplier for a quick quote, thinking that your request is relatively standard or similar to another company in your industry, could backfire. As mentioned, standard situations are rare. The price you get is unlikely to accurately represent the final solution. This can lead to unpleasant surprises, disappointment, and friction with your supplier.
Mistake 2: Same equipment as my previous projects
The field of industrial overhead cranes is constantly innovating. Even if your current needs seem identical to your last project, the technologies may have evolved. You could be missing out on an improvement that would bring you closer to your goals.
Mistake 3: Budget price without context
If you are preparing a budget for a project, it means you have a business plan with clear objectives and have determined that an overhead crane could help you achieve those goals. This makes it even more important to ensure that the context of your project is clearly understood to avoid preparing the wrong budget and having regrets.
